Cancellation & Reservation Policy

We understand that plans change. Our cancellation policy is designed to be fair to all guests while allowing us to manage availability responsibly on the White River.

Deposit & Balance Collection

A 50% deposit is collected at the time of booking for all reservations made 8 or more days prior to arrival. The remaining balance will be automatically charged to the card on file 7 days prior to your arrival date.

For reservations made within 7 days of arrival, the full reservation amount is collected at the time of booking.

RV Site Policy

Standard Cancellations

Cancellations made 8 or more days prior to your arrival date will receive a full refund of amounts paid, less a $25 processing fee.

Cancellations made within 7 days of arrival are non-refundable. A reschedule credit equal to the full reservation value may be issued in lieu of a refund, valid for 12 months from the original arrival date.

No-Shows & 48-Hour Cancellations

Cancellations made within 48 hours of arrival and no-shows will be charged the full reservation amount. Reschedule credits are not available for no-shows.

Cabins Policy

Standard Cancellations

Cancellations made 15 or more days prior to your arrival date will receive a full refund, less a $25 processing fee.

Cancellations made 7 to 14 days prior to arrival will receive a 50% refund. Alternatively, a full reschedule credit valid for 12 months may be issued in lieu of the partial refund.

Cancellations made within 7 days of arrival are non-refundable.

No-Shows

No-shows will be charged the full reservation amount, including any cleaning fees and pet fees collected at booking. Reschedule credits are not available for no-shows.

Ancillary Fees

Cleaning fees and pet fees collected at booking will be refunded in full on any cancellation where the cabin was not occupied. If the cabin is re-booked for the same dates, ancillary fees will be refunded regardless of the cancellation window.

No-Smoking Policy

All Ember Shoals cabin accommodations are strictly non-smoking and non-vaping. This applies inside the cabin, on covered porches, and within any enclosed outdoor structure associated with the unit. Smoking is permitted in open outdoor areas only, away from cabin structures.

Evidence of smoking or vaping inside a cabin will result in a $300 remediation fee charged automatically to the card on file. This fee covers HVAC cleaning, odor treatment, and any delay to the following reservation. By completing your booking, you acknowledge and agree to this policy.

This policy applies to all tobacco products, e-cigarettes, vaping devices, and any other combustible or aerosol substance.

Holiday & Peak Season Reservations

Reservations during holiday weekends and designated peak season dates require 30 days notice for a full refund, less the $25 processing fee. Cancellations within 30 days of arrival during these periods are non-refundable.

A one-time reschedule credit valid for 12 months may be issued for peak season cancellations made between 8 and 29 days prior to arrival, subject to availability and management discretion.

Weather & Force Majeure

In the event of a verified emergency weather event, mandatory evacuation order, or National Weather Service warning affecting the Cotter area, guests who are unable to arrive or who must depart early may receive a reschedule credit for the unused nights of their stay. This credit is valid for 12 months and applies only to documented, verifiable weather events.

General inclement weather, suboptimal fishing conditions, or personal schedule changes do not qualify under this provision.

How to Cancel

We accept cancellations by phone, email, or through your ResNexus reservation portal.

  • Phone: Call the front desk during office hours. Our team will process your cancellation, note the reason for our records, and discuss any reschedule options available to you.

  • Email: Send your cancellation request to info@embershoals.com. Include your reservation number and arrival date.

  • Online: Log in to your ResNexus guest portal and manage your reservation directly.

Cancellations are confirmed once you receive a written confirmation from our team. Please retain this confirmation for your records.

Reservation Modifications

Each reservation is eligible for one modification (date change or unit change) at no charge, subject to availability, provided the request is made at least 7 days prior to arrival for RV sites and 14 days prior for cabins.

Modifications requested within these windows will be treated as a cancellation of the original reservation and a new booking at current rates. The original cancellation policy applies to the original reservation dates.

If your fishing plans change due to river conditions or a guide rescheduling, call us — we will do our best to work with you.

Processing Fees

A $25 processing fee applies to all cancellations that qualify for a refund. This fee is non-refundable and covers payment processing costs associated with the transaction.

Reschedule credits are issued at the full reservation value with no processing fee deducted.
